MEMBERSHIP RULES & RESPONSIBILITIES


Chapter 1: Membership

Section A: General Provisions

1.      Membership shall be secured upon

a)      payment of dues in the amount of fifty dollars,

b)      signing the membership agreement, and

c)      signing the waiver of liability.

2.      Membership runs from September 1 – August 31 of each year, but new members may join at any time.

3.      Dues may be paid in advance to secure membership for the following year.

4.      A membership is for a single household or organization for nonprofit use.

5.      Applications will be processed on a first come first served basis. Directors may create a lottery system if deemed necessary.

6.      A waiting list will be maintained for applicants for whom no plot was available.

7.      Members from the previous season may choose the same plot or a vacant plot if one exists.

8.      No household may have more than one plot unless approved by the Directors.

9.      Membership is nontransferable.

10.  Membership fees are due August 1. Members who join during the year must pay dues within two weeks of notification that a spot is available.

11.  A thirty day grace period is granted for membership renewal. If membership fees and completed memberships forms are not received by August 31st, then the member will lose membership and all associated privileges.

12.  Maintenance of membership records is the responsibility of the Directors, one of whom will receive the dues, record the member’s personal information (name, mailing address, email address, and phone number), record the date membership is secured, record the assigned plot number, and pass on funds and relevant records to the Treasurer.

13.  Members who choose to share their plots must provide relevant information on the membership agreement.  

14.  Each membership shall be entitled to one vote in matters concerning revisions to the bylaws or other issues put before the general membership.

15.  Members are encouraged to donate a portion of their produce to charity.

16.  Members are highly encouraged to attend the spring and fall membership meetings.

17.  Members agree to volunteer time towards general garden upkeep and other community garden efforts.

18.  There is no guarantee of success or longevity of either the community garden or individual plots.

19.  Membership may be terminated via email or letter to the Directors indicating date of termination.

20.  Membership dues are nonrefundable.

Section B: Revocation

1.      Membership may be revoked at any time, on the majority vote of the Directors, if in the estimation of the Directors, the member is guilty of any of the following:

a.       using the garden for any illegal purpose; or

b.      showing flagrant disregard for the mission, bylaws or official decisions of the Directors; or

c.       blatantly acting against the interests of the garden; or

d.      failing to properly maintain the assigned plot.

2.      Anyone whose membership is revoked according to this section may not become a member again except on the majority vote of the Directors.

3.      Membership dues are nonrefundable

Chapter II: Plots

Section A: General Provisions

1.      Plots will be numbered and clearly marked on a map maintained by the Directors.

2.      Assignment of plots to members will be recorded by the Directors, one of whom will record the member’s name, the plot number, and the date of assignment.

Section B: Maintenance and Use

The plot holder agrees to the following:

1.      The garden hours follow the operating hours of Brook Run Park.

2.      The garden leadership must be notified in a timely fashion if the plot must be permanently abandoned for any reason.

3.      The garden leadership must be notified in a timely fashion if the plot holder, for any reason (work, illness, etc.) is temporarily unable to maintain the plot.

4.      Keep weeds in the plot to a minimum.

5.      Plant something within thirty days of plot assignment and cultivate the plot year round. (Cover crops may be used to rejuvenate the soil during unproductive times.)

6.      Keep the areas surrounding the plot clear of debris, weeds, and overgrown crops.

7.      Plant crops and decorate the plot in a manner that does not unreasonably encroach upon gardener’s space or access to sunlight.

8.      Dispose of trash in proper receptacles.

9.      Dispose of weeds and plant materials in the designated compost bins.

10.  Pick only crops from the member’s plot unless given permission by another garden member.

11.  Pick mature crops. Members are encouraged to donate excess harvests to charity.

12.  Use water wisely.

13.  The use of organic seeds and transplants, when available, are preferred.

14.  Use only natural, bio-friendly fertilizers, soil and mulch.

15.  The use of non-organic herbicides, pesticides, insecticides, and fungicides is prohibited.

16.  Use non-toxic materials, such as untreated pine or cedar, reclaimed logs, cinder blocks, or landscape bricks if building a raised bed.

17.  Raised beds or plot borders, if using, must measure twelve inches or under.

18.  The theft of any crops, tools, hoses, signage, containers, etc. will result in an immediate revocation of membership.

19.  Drive and park vehicles only on paved surfaces.

20.  Keep the garden gates closed.

21.  No alcohol or smoking.

22.  Use language appropriate for a family environment.

23.  Pets, with the exception of service animals, must remained outside the main garden gates.

24.  Show consideration toward fellow gardeners, garden property, and the community at large.

25.  Conflicts among gardeners will be referred to the members of the board.

26.  Plots are nontransferable.

Section C: Abandonment

Two week’s notice will be given to clean unkempt plots. The Directors will be responsible for notifying any plot holders when their plots are noted as unkempt. Notification is considered complete when it is sent by email to the email address on file, or three days after it is sent by postal mail to the mailing address on file, or at the time it is given during a phone conversation between a Director and the plot holder. If acceptable progress is not made, the plot will be considered abandoned and membership may be revoked.
